Who – Why – What

I am writing this in response to my interactions with entrepreneurs leading small and medium enterprises. Such interactions made me think they are in a dilemma about taking their IT to the Cloud from the On-Premise. Most MSMEs have adopted cloud computing in a limited manner. Most use emails like G-Suite, Godaddy, and O365 and Cloud drives like Google Drive, OneDrive, and Dropbox. I herewith attempt to simplify this topic for the assistance of the MSME fraternity.

I take an approach of three Ws one by one to cut the clutter on an MSME’s Go-Cloud exercise.

WHO should Go-Cloud?

Ask the following questions to decide whether you are among those WHO should Go-Cloud.

    1. Do I have stable Internet connectivity at my factory, office, and WFH user? Ideally, 200 KBPS upload and 200 KBPS download on a per user basis. So, if you have 25 users at the office, 10 users at the factory, and 5 WFH/remote users, you need to have a 5 MBPS upload, and 5 MBPS download speed at the office, 2 MBPS upload and 2 MBPS download speed at the factory, and 200 KBPS upload and 200 KBPS download for each WFH/remote user.
    2. Do I have standby Internet connectivity to continue my operations in the case when primary Internet connectivity is down?
    3. Is the maximum size of a single file used by the users not more than 50 MB? If your users have larger files to work on, like Autocad, Solidworks, 3D, etc., you need to Go Hybrid instead of Go-Cloud.

If the answer to 1-2-3 is all Yes, step up to another W.

Why should I Go-Cloud?

    1. Do you prefer OPEX over CAPEX?
    2. Do you have a majority of your users geographically distributed? It does not make sense to Go-Cloud if 70% of your users are working from a single premise.
    3. Are you OK with being dependent on a third party to keep your data? It is a critical point, and one needs to evaluate and self-satisfy with the exit barriers in case one wants to revert to On-premise.

If the answer to 1-2-3 is all Yes, step up to another W.

What to ensure before I Go-Cloud?

    1. Have I taken enough cloud storage for users’ Files, Emails, Applications, and Backup Data? Remember, it has to be pool storage at the enterprise level. Space allocated per user won’t work.
    2. Have I deployed enterprise policy controls like department-wise data access, permissions, versioning, VPN, user-wise application access, trusted devices, and data backup?
    3. Have I implemented strict Data Leakage Prevention on users’ devices by USB Controls, Email Vigilance, and Internet Access policies?

If the answer to 1-2-3 is all Yes, you are good to Go-Cloud.

Now let me apprise you of the challenges when you decide to Go-Cloud. I describe those challenges in two words. Costly and Complex. Check this table.

Why Costly?

The above table suggests that you need to buy 11 different cloud services. These services are sold as independent products by the IT industry. They are charged on per user per year basis. Paying yearly for 11 different services for several users makes it prohibitively costly for an MSME. The cumulative yearly cost of all these services and agents ranges from 9000 INR to 13000 INR per user.

Why Complex?

The above table suggests that using 11 different cloud services will mandate the deployment of multiple cloud agents on the user’s computer. It is almost impossible for an MSME with limited access to IT talent and resources.

What Next?
