Email Backup

Once Emails are routed through BLACKbox, the BLACKbox mail server stores sent and received emails of users as a file in a specified directory. In case of lost emails, they can be recovered as restore details are available.

For systems that are in a domain environment, will email authentication happen through BLACKbox or Active Directory?

If emails are routed through BLACKbox, authentication shall happen through BLACKbox only.

Are personal emails of the users accessible through BLACKbox?

No. BLACKbox can vigil only those emails that are routed through it.

Is BLACKbox compatible with O365 or G-Suite?

Yes. BLACKbox is compatible with any 3rd party email host. BLACKbox acts as a mediator between the host and the recipient. It acts as a local mail distribution server and can download users’ emails from G-Suite or O365, or any other email host over POP. After downloading emails from the host, it can apply email vigilance policies and then deliver them to the users.

BLACKbox can also act as an SMTP server to relay email through G-Suite / O365 after applying mail vigilance policies. This is how emails can be routed through BLACKbox, and users can check emails over an email client or webmail provided by BLACKbox.

BLACKbox mail vigilance and shadowing features can be used by routing mails through BLACKbox. If emails are used directly from G-Suite or O365 or Webmail provided by the email host, email policies will not be applied.

Can BLACKbox be used to backup emails from the email host?

Yes. BLACKbox is equipped with email shadowing technology. If a journal account is enabled in the email host, BLACKbox can shadow all the incoming and outgoing emails userwise and datewise as a local backup.

Can BLACKbox send a copy of all the emails sent by the junior staff to the department head?

Yes. If mails are routed through BLACKbox, the user’s email can be configured such that all the emails sent by that user are sent to a particular designated authority through the email vigilance feature of BLACKbox.

Can BLACKbox monitor and vigil emails for specific content and attachments?

If emails are routed through BLACKbox, then some specific extension of attachments can be allowed/disallowed for a particular user.

BLACKbox cannot vigil the contents of an email, but it has a “Moderator” feature where all the emails sent by a particular user will be forwarded to the desired recipient only when approved by a designated authority. So, the moderator can check for the contents and choose if the email should be passed on further. This serves the purpose of content vigilance.

Will there be a delay in receiving emails after routing through BLACKbox?

BLACKbox acts as an intermediate mail distribution system between the email host and the email client. It connects with the email host every ten minutes and downloads the emails. It then distributes them further to the email client. This interval of ten minutes can be reduced to two minutes depending upon the email flow of the particular organization.

 

Where will the PST files for the emails configured on POP be stored?

The PST files will be stored on the users’ system.  If the emails are routed through BLACKbox on POP, every mail received and sent by the user from the date of BLACKbox installation will be shadowed in the BLACKbox.

If it is required to restore all the sent and received emails for a specific user for a specific period, one can restore them.

How can the backup of old emails be taken to BLACKbox post- migration?

For the first time, all the PST and OST files will have to be copied manually to the BLACKbox drive designated to keep the previous backup.

It is a one time exercise, and one has to wait till all the previous emails are copied to BLACKbox. Alternatively, you can configure BLACKbox to download new mails and keep previous mails on the host only.

Can a user’s email be controlled when accessed through the webmail of the email host or a personal computer system?

In order to control the email system of a user, emails should be routed through BLACKbox and used only through an email client or the BLACKbox webmail even when hosted by a third party.

The webmail password should be changed at the time of configuring the BLACKbox.

What if we have multiple domains for our Email IDs? After implementing BLACKbox, can we implement BLACKbox Email Vigilance, Backup, and all other BLACKbox features to all of those email IDs on multiple domains?

BLACKbox license is counted as the number of agents installed for a number of named users or specific devices, whichever is higher. It will support email vigilance of email IDs that are within the license limit of the BLACKbox.
Email IDs on multiple domains can be configured in BLACKbox if the email service provider supports POP or IMAP protocol. However, the number of emails configured in BLACKbox cannot exceed the total number of licenses granted on specific BLACKbox devices.

Is there a minimum order quantity for a hybrid email system?

Yes, the customer has to order a minimum of 10 email IDs (combination of privilege, POP ordinary, and IMAP Ordinary) to contract a hybrid email system on BLACKbox.
